Event Coordinator


We have an incredible opportunity for an Events Coordinator who must demonstrate strong organisation and planning skills. You will be responsible for supporting the planning and execution for all events that Blakely attend and organise, from small vendor events to large scale community events.

We are looking for an enthusiastic individual who has an eye for detail and is excited to learn all about how to execute the perfect event from start to finish.

About the role:

You’ll be working closely with the Events Manager and events team, to support with the planning, organising and execution of some incredible events. You’ll also have the opportunity to attend these events worldwide and much more. You’ll need to be able to work collaboratively with our other teams to help achieve that seamless end result!

Responsibilities & duties:

Administrative Support:

  • Assist in the development and maintenance of event timelines, checklists, and documentation.
  • Handle administrative tasks, such as filing, data entry, and correspondence.
  • Booking travel and accommodation.
  • Create and distribute itineraries.
  • To be able to communicate professionally and effectively with venues/ brands for potential collaborations.

Logistics Assistance:

  • Support logistics coordination, including venue setup, catering arrangements, and equipment logistics.
  • Assist in securing necessary permits and approvals for events.

Vendor and Supplier Relations:

  • Aid in communication with vendors and suppliers, ensuring timely delivery of services and materials.
  • Build and maintain all client relationships with Vendors and Suppliers pre and post event.

Promotion and Marketing Assistance:

  • Be a liaison point for Photography & Imaging, Marketing and other teams as required in terms of promoting and marketing events.

On-Site Support:

  • Assist in the on-site setup, coordination, and breakdown of events.
  • Provide support for influencers, on-site staff, volunteers, and vendors to ensure smooth operations.

Budget Tracking:

  • Help monitor and track event expenses against the budget.
  • Contribute to the preparation of financial reports and updates.

Attendee Interaction:

  • Assist with attendee registration, check-in, and information dissemination.
  • Address attendee inquiries and concerns in a professional manner.

Post-Event Activities:

  • Participate in post-event evaluations, gathering feedback and insights.
  • Contribute to the preparation of post-event reports.

Graphics and Artwork:

  • To be proficient in Adobe Creative Suite and help to create graphical pieces for events.
  • To build and maintain those relationships with companies who assist us with these graphical pieces as well as physical structures.

Stock Accountability:

  • To be able to work alongside Ecom team in regards the too the product we wish to take to the events.
  • Help the team pack product items for the event attendees and distribute these to people on the day of the event to ensure seamless transaction.

Event Kit Accountability:

  • Monitoring all physical kit, we have for events, where these are located, what condition they are in and ensure that we have repaired/ new kit available for when the next event will take place.

Job Types: Full-time, Permanent

Salary: £22,000.00-£23,500.00 per year
