Buying Admin Assistant

Blakely Clothing is a fast-growing e-commerce fashion brand based in North Norfolk. We design premium lifestyle products for a global audience and have recently experienced rapid growth. We’re now expanding our team and looking for someone to help lead and shape our womenswear category.

We are excited to offer an opportunity for a Buying Admin Assistant to join our Buying team.

We’re looking for a detail-focused, commercially minded Buying Admin Assistant to support the development and execution of our product buying and sourcing processes. This role sits at the centre of product creation, supplier communication and cost management, working closely with design, product development and supply chain to ensure we deliver the highest-quality products at the right cost and on time.

Responsibilities & Duties

  • Support product research, sourcing and development across relevant categories
  • Assist with negotiating and agreeing cost prices, ensuring targets and margins are met
  • Communicate daily with suppliers, factories and sourcing partners
  • Track purchase orders, sample status and production timelines
  • Maintain and update buying and supply chain documentation, ensuring accuracy and organisation
  • Take detailed notes during supplier meetings, calls and product development reviews
  • Support fabric and trim sourcing, researching industry trends, sustainability options and newness
  • Assist with seasonal buying plans and product range builds
  • Ensure correct product information is maintained across internal systems and databases
  • Monitor stock and supply chain updates, flagging delays or risks early
  • Organise samples, supplier documents, product swatches and approvals
  • Create comparative cost reports, price breakdowns and supplier analyses
  • Support quality checking of samples and fit comments where required
  • Work cross-functionally with design, production and logistics to ensure smooth handover and delivery
  • Keep up to date with market and competitor trends to support buying decisions
  • Support ordering admin with creation of barcodes and updating ordering documentation.
  • Support on Product reporting.

Skills & Requirements

  • Strong organisational skills with the ability to manage multiple tasks and details
  • Confident communicator with suppliers and internal teams
  • Basic knowledge of garment construction, fabrics and trims (preferred)
  • Strong numerical ability, with confidence working on costings and margins
  • Comfortable negotiating and supporting commercial decisions
  • Proficient in Microsoft Office, particularly Excel
  • Interest in sourcing, supply chain and product creation
  • Proactive, adaptable and confident working in a fast-paced environment
  • Passion for fashion, product development and global sourcing

  • Hours: Monday - Friday 9am to 5pm
